Trade Show Packing List

Everything that ends up in the booth crate, the staff carry-on, or an attendee's bag. Tick things off as you pack (your ticks are saved in this browser), print it, or copy it as text into your team's doc. Show-specific rules — power, sound, flooring, freight — come from your exhibitor kit; this is the list of what to bring.

How to use it

  • Two bags, not one. Everything in "Booth build", "Power & tech", "Collateral" and "Shipping" goes in the crate that ships to the advance warehouse. "Lead capture" and "Staff comfort" travel with people — if the crate is late you can still work the booth.
  • Pack against the exhibitor kit. Power, sound, flooring, ladder height, balloon and food rules differ by hall. Read the kit before you pack, not at move-in.
  • Photograph every packed case. It settles "was the spare panel in crate 2?" at 7am on show day, and it is the inventory for move-out.
  • Timing. The Show Countdown Planner puts "pack & reconfirm travel" a week before any show you pick, with the advance-warehouse shipping date before it.
